With a bold vision to practise law in a better way, five senior lawyers established JRT Partnership in 2011. A low overheads model meant that the firm were looking for an affordable, smartphone-friendly voice product for off-site recording that was compatible with its existing hardware.
Switching to BigHand Professional in 2013 offered everything the team required to provide better, faster, leaner client service.
Awarded a Highly Commended in the LexisNexis Janders Dean Legal 2014 Innovation Index for tackling the traditional billable hour and standard incentive reward systems head on, the Victorian law firm’s strategy has always been to build efficiencies into its systems and procedures to keep overheads low and reduce pressure on staff.
Focused on implementing innovative solutions to drive efficiencies, Sarah Simmonds, Practice Manager, says that BigHand “was received with enthusiasm by staff and directors alike.”
“We are proud of our commitment to continuous innovation”, says Sarah.
BigHand’s digital tools have allowed the firm to stay true to its lean business model, keep administrative staffing to a minimum and maintain low overheads.
“Practitioners who once had a dedicated PA are now sending out client letters efficiently without the intervention of an assistant,” says Sarah.
Previously, JRT Partnership relied on manual transcription and if the lawyers were mobile, they still had to return to the office to dock their device for transcription.
One of the key benefits of BigHand was the easy integration with the existing system. Practitioners could continue to use existing wireless devices in the office but also dictate directly into their smartphones with BigHand when out and about.
“The beauty of the BigHand Software was that the existing hardware was not made redundant, it was only enhanced by mobility”, says Sarah.
Recognising that any new system requires a committed on-boarding process, the pioneering firm took a refreshing approach to the tech learning curve.
“New technology only adds value if staff use it – you need whole firm buy-in. Our directors recognise that a new system takes time to implement and learn and always make this a positive experience”, says Sarah.
The firm happily upgraded to the Speech Recognition solution in 2015 and implemented the system firm-wide.
“The BigHand team were friendly and knowledgeable and they could talk to us about real lawyers’ experiences with their product,” says Sarah.
Some staff members work from home on occasion and many attend off-site client meetings so the mobility of the BigHand solutions was a huge positive for the firm and its lawyers.
“Having BigHand available on their smartphones means they can dictate file notes from home or from the airport lounge which can hit the file before the practitioner gets back to the office,” says Sarah.
The BigHand results were evident: speed and efficiency were the order of the day.
“We were astonished by the speed in which BigHand was able to learn an individual’s voice and go from about as accurate as Apple’s Siri to over 95% accurate in just a few lessons," says Sarah.
The firm went from long dictation queues, copious handwritten notes and file notes not reaching the file on the same day, to efficient transcription processes, better file continuity and file notes being turned around in a matter of minutes from when the practitioner hits send on his or her smartphone.
“With BigHand Speech Recognition, a note is more likely to hit the file the same day rather than wait in the dictation queue. It has taken a lot of pressure off the admin team," says Sarah.
